SAHETI ALUMNI COMMUNITY OFFICER COMMENCEMENT DATE: BY AGREEMENT SAHETI School is an independent, co-educational, English-medium school dedicated to the pursuit of excellence, whilst promoting the values and ethos of Hellenism. The school is situated in Bedfordview, Johannesburg. The purpose of this position is to develop and maintain an effective, active Alumni community and to cultivate and enhance Alumni engagement and contribution to the life of SAHETI, thereby building long-term relationships. The SAHETI Alumni Community Officer is the main point of contact for all past and future Alumni of SAHETI School and is responsible for monitoring and growing the Alumni network. This is a full-time, largely autonomous role. The successful candidate will be expected to plan, execute and take ownership of projects and events independently, exercise sound professional judgement, and proactively flag risks and delays in good time. Working closely with the Alumni Committee and the School’s structures, the Officer develops systems and initiatives that build visibility and sustained involvement across the Alumni Community, the SAHETI Institute, and the School. Minimum requirements A relevant tertiary qualification; a background in marketing, communications, or events management would be advantageous. Demonstrable experience independently managing multiple concurrent projects or events to deadline, without close supervision. Excellent verbal and written communication skills, including strong proofreading and editing discipline. Strong planning, organisational and project-management skills. Working knowledge of social media management, content-scheduling tools, and basic graphic design, with the ability to work consistently within brand guidelines. Financial literacy sufficient to prepare budgets and comply with reconciliation and requisition processes. Strong, resilient interpersonal skills, with a demonstrated ability to manage stakeholder relationships and complaints through to resolution. An understanding and appreciation of community history and dynamics, and the Hellenic ethos of SAHETI. Comfortable serving as the public, ambassadorial face of the Alumni Association, including in Alumni-facing communications and on social media. Superior attention to detail and the ability to work to formal, auditable standards. Must be a SAHETI Alumnus/Alumna. Job Description The role covers, but is not limited to, the following areas of responsibility: Alumni Engagement & Programme Management Develop and manage initiatives that build Alumni interest, participation and engagement across a broad range of platforms. Organise events for Alumni year groups and interest groups, including reunions and other functions. Continuously identify networking opportunities that drive and enhance Alumni relationships with SAHETI. Stakeholder & Community Communication Communicate proactively with internal and external stakeholders, including the School, the SAHETI Board, the PTA, the Institute, and other Hellenic and Alumni organisations. Showcase Alumni achievements within SAHETI and the broader community and develop key relationships with external stakeholders. Engage with the Executive Head on all aspects of Alumni relations with the School. Alumni Committee Support & Strategic Planning Coordinate and support the Alumni Committee: arrange meetings, and prepare and distribute agendas, minutes and action plans on time. Implement strategic initiatives agreed with the Chairperson and Committee and manage upward communication with volunteer Committee members. Database & Relationship Management Maintain and continually update the Alumni database, ensuring high data accuracy, verified independently on a periodic basis. Establish methodologies and systems for gathering Alumni data, including graduating students’ fields of study and professional information. Develop methodologies aimed at engaging Alumni across the globe. Event Coordination & Marketing Plan and coordinate all Alumni events using a written project plan and timeline, arranged well in advance, including venue and audiovisual checks before each event. Develop and implement marketing and promotional plans for events, with realistic lead times to support effective participation. Represent the Alumni Association at SAHETI events. Fundraising & Donor Engagement Plan and drive Alumni Association fundraising activities, including the SAHETI Alumni Support Fund. Identify fundraising opportunities and cultivate sponsor and donor relationships. Social Media & Digital Engagement Manage and grow the Alumni Association’s social media presence across WhatsApp, Facebook, LinkedIn and newsletters, ensuring all content is proofread, fact-checked and compliant with SAHETI’s brand guidelines before publication. Produce and distribute two to three Alumni newsletters per year in print and digital formats. Networking & Community Building Build Alumni networks locally and internationally, including through personal outreach to Alumni and sourcing guest speakers for School and Alumni events. Actively identify new ways of creating networking and connection opportunities, both among the Alumni body and between Alumni and SAHETI Uniform & Second-Hand Shop Management Oversee administration of the Alumni Association’s new and second-hand uniform and book shop, including stock control and complaint resolution. Identify and promote opportunities to expand the uniform, book shop and merchandising offering. Financial Management & Reporting Prepare and manage the Alumni Association’s annual budget with the Treasurer and comply with financial and requisition controls. Generate financial and other reports on the status, progress, and activities of the Alumni Association. Governance & Administration Organise and maintain Alumni records, email campaigns, meeting minutes and invoices. Assist the Alumni Association and its Office Bearers in delivering their duties under the SAHETI Alumni Constitution, including preparing governance documentation such as AGM notices accurately and issuing it with adequate lead time.
